# Auto-refill

> Buy tokens automatically whenever your balance runs low.

## Setting up auto-refill

Auto-refill buys tokens for you: pick a threshold and a refill amount once, and whenever your balance dips below the threshold, XBuild purchases the refill amount on your default payment method and adds the tokens right away. Only an XBuild Administrator can change these settings. The token balance legend labels these purchases **Auto top-up** — same feature.

### 1. Turn on auto-refill

1. Open **Billing** — from the main navigation, or under **Settings**.
2. Find the auto-refill bar at the bottom of the plan card ("Auto-refill is enabled" / "Auto-refill is disabled").
3. Click **Enable** (or **Edit**, if it's already on).
4. In the **Auto-refill settings** dialog, turn on **Enable auto-refill**.
5. Set **When token balance reaches** — the threshold, from 10 to 50 tokens. XBuild buys as soon as your balance drops below this number.
6. Set **Refill with** — how many tokens to buy each time, from 50 to 1,000 in steps of 50. Each option shows its price at your plan's per-token rate. The refill amount must be at least the threshold.
7. Click **Save settings**.

The bar under the plan card then reads "We will purchase X tokens when balance reaches Y" — the purchase runs the moment your balance drops below Y.

### 2. How a refill runs

When usage takes the company balance below the threshold, XBuild makes **one** purchase of your refill amount on your default payment method. The tokens land immediately as an **Auto top-up** grant, valid for **1 month** from purchase (like [manual top-ups](/plans-billing/manual-top-ups)), and the purchase appears in **Transactions** with its invoice — see [Invoices and receipts](/plans-billing/invoices-and-receipts).

* A single auto-refill purchase can't exceed **\$500**; if your refill amount would cost more at your per-token rate, pick a smaller amount.
* Auto-refill fires once per dip. If a busy day burns through the refill too, it triggers again the next time the balance drops below the threshold.

### 3. Payment method requirements

Auto-refill needs a default payment method on file — the settings dialog warns you and links to **Settings → Wallet** if there's nothing saved.

**ACH Direct Debit is not supported.** Bank transfers take 3–5 business days to clear. If your default payment method is ACH, XBuild asks you to switch to a card in **Settings → Wallet** before enabling; if your default later changes to ACH, an attempted refill fails with an email explaining why.

### 4. When a payment fails

Auto-refill tries **once** and never hammers a broken card:

1. XBuild attempts the charge, with one quick automatic retry for momentary processing errors.
2. If the payment fails, the invoice is voided — you're never charged for tokens you didn't receive.
3. You get an email saying the automatic top-up couldn't be processed, with a link to update your billing information.
4. Auto-refill **pauses**, and stays paused while your balance sits below the threshold.

To restart it: fix your payment method in **Settings → Wallet**, then bring your balance to the threshold or above with a [manual top-up](/plans-billing/manual-top-ups). Auto-refill re-arms on its own and fires normally the next time the balance drops below.

### 5. Troubleshooting common issues

* **My auto top-up stopped working.** Almost always the pause after a failed payment — check your inbox for the payment-failure email, update your card in **Settings → Wallet**, then top up manually to reach your threshold. If payments are fine, confirm the bar under your plan card says auto-refill is enabled with the threshold you expect.
* **I was told ACH isn't supported.** Correct — set a card as your default payment method in **Settings → Wallet**, then enable auto-refill.
* **I can't save my settings.** The refill amount must be at least the threshold, and a payment method must be on file. "Settings are being updated, please try again" means another change was saving at the same moment — retry.
* **I don't see the Enable or Edit button.** Auto-refill is admin-only. Members see the plan card but not the billing actions.
* **I got refilled twice in quick succession.** Each refill is a real dip below the threshold. Raise the refill amount so one purchase lasts longer.
