Enable and use the Google Drive connector

The Google Drive connector pulls documents and photos from Drive into a project. Unlike other connectors, the connection is per person — each teammate connects their own Google account and browses their own Drive; no Administrator needed. Access is read-only: XBuild copies files you pick and never changes or deletes anything in Drive. Connectors are included starting with XBuild Operator.

1. Connect Your Google Account

  1. From the chat prompt, click + and select Google Drive (subtitle: “Add documents and photos from your Drive”) — or go to Settings → Connectors → Google Drive.
  2. Click Connect. A secure window opens on Google’s sign-in page; XBuild never sees your Google password.
  3. Sign in, review the read-only permission, and allow access.
  4. You’re returned to XBuild with the connection active. The picker header shows which Google account is connected.
Each teammate who wants to import from their own Drive repeats these steps.

2. Import Files into a Project

Once connected, the + menu’s Google Drive entry opens the file picker in any chat.
  1. The picker opens with your most recently viewed files. Use Search your Drive… for anything else — it covers My Drive, shared drives, and files shared with you. Each row shows name, type, and size, with thumbnails for photos; Google-native files (Docs, Sheets, Slides) are listed too.
  2. Click files to select or deselect. Files already imported into this project are pre-marked, so you won’t create duplicates. The footer shows a running count and total size.
  3. Click Add [N] files. Added files sit in the compose area as attachments — remove one with the × on its chip, add more, and type your prompt. The import happens when you send; if you close the chat without sending, your selection is kept until you send or remove it.
A file over its limit is greyed out with the reason in its row and can’t be selected.

3. What Happens After You Import

XBuild copies the files — nothing links back to Drive, and later changes in Drive don’t alter the project’s copy. Picking a file again after it changed in Drive refreshes the project’s copy instead of creating a duplicate.

4. Disconnect

Remove your connection from Settings → Connectors → Google Drive. Disconnecting revokes XBuild’s access with Google and affects only your own connection; imported files stay on their projects. You can also revoke access from your Google account’s third-party access settings — XBuild asks you to reconnect next time.

5. Troubleshooting Common Issues

  • The picker says my Google Drive access expired. Connections can expire or be revoked from the Google side. Click the reconnect prompt in the picker (or go to Settings → Connectors → Google Drive) and sign in again. Nothing already imported is affected.
  • A teammate connected Google Drive but I can’t use it. Connections are per person — connect your own Google account.
  • A file I can see in Drive isn’t in the picker. The picker opens with recently viewed files — use the search bar. If it still doesn’t appear, confirm the Google account in the picker header is the one that can see the file.
  • A file is greyed out. It’s over the size limit for its type — the row shows the reason.
  • My Google Doc imported as a PDF. Expected — Docs and Slides become PDFs, Sheets become Excel files.
