Working with tasks

Tasks are the to-do list that keeps jobs from stalling. A task can live on a project or stand alone, belong to a teammate with a due date and priority, and remind the assignee before it’s due. XBuild also suggests tasks — as recommendations you accept or dismiss, never as work silently added to someone’s plate. This feature is available on select XBuild plans. 1. Create a task

  1. Use the Create menu on Home and choose New task, or add one from the tasks section on a project’s Overview tab.
  2. Give it a title, plus whatever else is useful from the fields below.
  3. Save.
Everything but the title can be edited later. Mark a task complete when done — and reopen it if it wasn’t.

2. Accept or dismiss AI-suggested tasks

When XBuild spots something worth doing — an overdue follow-up, a next step after a milestone — it creates a suggestion. Suggestions appear with a ✨ marker under Suggested, on Home and on the relevant project, marked “Suggested” so they’re never mistaken for a teammate’s task.
  • Accept by assigning it — to yourself in one click, or to a teammate from the menu. It becomes an ordinary task with due dates and reminders.
  • Dismiss it. It goes away and stays away.
A suggestion is never assigned, never due, and never nags anyone until a person accepts it.

3. My Tasks on Home

Home’s My Tasks widget lists your open tasks sorted by due date, with a count in the header, plus the Suggested tab. Click a row to open and edit, or View all for the full tasks page — filtered to your own tasks, with assignee, type, and project filters for everything across your Location. Each project’s Overview tab has the same view scoped to that project. An open-task count also appears on the project’s card on the pipeline board.

4. Reminders and notifications

An unassigned task reminds no one, and tasks on projects in an end stage like Complete or Lost stay quiet — if the project comes back to life, its tasks become eligible again.

5. Troubleshooting common issues

  • I never got a reminder for my task. Reminders need an assignee and a due date, and fire on the due day or the day before — a task assigned after that window won’t get one retroactively. Also check the project wasn’t in Complete or Lost when the task came due.
  • A suggestion disappeared. Someone accepted it (look for it as an assigned task on the project) or dismissed it. Suggestions are shared across the team, so one member acting on it removes it for everyone.
  • I dismissed a suggestion I actually wanted. Create the task yourself — dismissing doesn’t block the work.
  • I can’t assign a task to someone. Assignees must be members of the Location the task belongs to. See Members and roles.
