Working with the project album

Every project has an Album holding its photos and videos — from the mobile app’s camera, a web upload, or a connector like CompanyCam. AI writes a title and description for each photo (Photo descriptions); videos get none. From the album you hand anyone a branded gallery link or photo report PDF.   1. Open the project’s Album and click Share.
  2. Choose Share entire album (a link for everything) or Share specific items (pick photos and videos, then share that selection).
  3. Decide whether descriptions travel with the link. The Descriptions toggle is on by default; off, recipients see no AI titles, AI descriptions, or team notes. Photo tags stay visible either way.
  4. Create the link and copy it. Anyone with it can view — no account needed.
  • A link is a fixed snapshot. The selection and descriptions choice lock in at creation and can’t be edited. To change either, revoke the link and create a new one — a revoked link stops working immediately.
  • You can have many links per project. Each is independent; revoking one doesn’t touch the others.
The Share dialog also offers Share project link with your team — an internal link to the project for your organization, not a public gallery.

2. What the recipient sees

The link opens a branded gallery page: your logo, “[Your company] shared a gallery with you,” the project’s street address as the title, the item count, and who shared it and when. Photos display in Timeline (grouped by capture day) or Gallery (a flat grid) views; clicking an item opens it full-screen, and videos play on the page. If the link was created with Descriptions off, both the page and any PDF saved from it stay description-free — enforced on the server, not just hidden in the viewer.

3. Export a photo report PDF

For insurance files, job records, or printed handoffs:
  1. Open the project’s Album and click Share.
  2. Choose Save selected photos as PDF.
  3. Select the photos, choose whether to Include descriptions, and download.
The report is headed with your company name and logo, the project, the export date, and the photo count, then one page per photo with its description underneath (when included). PDFs render photos only and are capped at 100 — for bigger sets, use the zip download.

4. What sharing never exposes

  • Team comments. Comments and photo threads never appear on shared albums or PDFs — see Team collaboration.
  • The rest of the project. A gallery link shows photos and videos only: no estimate, proposal, documents, or pricing.
  • Anything you didn’t select. A “specific items” link shows exactly what you picked. Photos added later never appear on an existing link — create a new one to include them.

5. Troubleshooting common issues

  • The link shows descriptions I didn’t want out there. The descriptions choice is fixed per link. Revoke it and create a new one with Descriptions off. If the text itself shouldn’t exist, see clearing descriptions.
  • The recipient still sees text with descriptions off. Check whether it’s a photo tag — tags aren’t descriptions and stay visible by design.
  • The zip download fails on a huge album. Downloads are capped at 1,000 photos (and an overall size limit). Share a smaller selection, or have the recipient download items individually.
  • The PDF won’t generate. PDFs are capped at 100 photos — over that, the page suggests the zip instead. Also confirm the link is still active; a revoked link can’t produce a PDF.
  • A shared link stopped working. It was revoked, or its project was deleted. Create a fresh link if the share should still be live.
