Working the claim: XBuild’s supplement flow

Publishing an insurance claim gets you the documents; Submit to insurance gets it worked. XBuild sends your published scope to the carrier and runs the negotiation, AI-assisted with real people in the loop: following up with the adjuster, answering revision requests, and pushing for approval. Insurance projects only. You pay nothing up front; fees are a percentage of what’s approved.

1. Publish the claim first

Submit to insurance works on a published Xactimate or Symbility scope. Build the claim (Creating an estimate) and publish it (Publishing to Xactimate or Publishing to Symbility). The publish success screen — and the project’s post-publish panel afterward — shows the Submit to insurance button.

2. Submit to the carrier

  1. Click Submit to insurance.
  2. Review the confirmation screen: what XBuild will send, the fee that applies, a claim summary with the total RCV, and — when the claim info names the carrier — who it’s going to.
  3. Click submit.
XBuild sends the published scope plus the full XBuild Report — the documentation that backs the scope — to the insurance company. A claim can be submitted once; the button disappears afterward.

3. What the fees are

The fee is disclosed on the confirmation screen and depends on how the scope was built: Fees are invoiced NET30 after approval, separately from token charges — submitting consumes no tokens. If an approval comes in low, supplementing continues, and each new approval is its own invoice, billing only the increase over the previous approval — never twice for the same approved dollar. Invoices appear on the project alongside the claim activity and in Invoices and receipts.

4. What happens after you submit

  • Follow-up emails go out until the carrier responds — escalating when they don’t.
  • Adjuster revision requests come back as revised scopes for review.
  • Supplementing continues through approval.
You can still contact the adjuster yourself, but the flow works best through one channel — check Claim activity first so you don’t cross a follow-up already in flight.

5. Follow along in Claim activity

Open the project panel (folder icon) on a submitted claim for the Claim activity feed — a timeline of emails to the carrier, follow-ups, revised scopes, phone calls, notes, approvals ✅, and supplement requests, each stamped with who did it and when. XBuild team entries are labeled XBuild; invoices tied to approvals show on the project too. The feed is the status, and anyone with project access sees the same timeline (Team collaboration).

6. Troubleshooting common issues

  • The Submit to insurance button isn’t there. It appears only on insurance projects with a published scope, and disappears once submitted. Retail proposals never have it.
  • I submitted but nothing’s in Claim activity yet. The first entries appear when the scope goes out to the carrier. Give it a beat, then check the project panel again.
  • Which fee applies to my claim? The confirmation screen states it. Started from an uploaded carrier estimate → 10% of the RCV increase; built from scratch → 5.5% of the approved RCV.
  • The carrier approved less than the scope. Supplementing continues automatically. The first approval is invoiced on its amount; later approvals only on the additional RCV they add.
  • Where do I see what I owe? Approval invoices are NET30 and appear on the project with the claim activity, and under Invoices and receipts.
