Publishing to Xactimate

When an insurance project’s scope is built in Xactimate format, publishing produces a .ESX project file you can open, edit, and submit in Xactimate, alongside the carrier-friendly PDF and a web link. It runs through the same publish wizard every proposal uses; this page covers what’s specific to the Xactimate output.

1. What you get, and when

Allow up to 10 minutes (Processing times). The publishing screen shows the link immediately; a snagged export retries automatically, and the screen says so once the usual window passes. Finished documents are emailed to you and filed into the project panel’s Documents section (folder icon).

2. What it costs

The first Xactimate publish on a project costs 40 tokens at the wizard’s checkout step; later Xactimate publishes on that project are free and skip checkout, and switching to Symbility is charged at that format’s own first-publish rate — see How tokens work. The publish charge is separate from the chat tokens spent building the scope.

3. Confirm the claim header before you publish

The Xactimate documents print the claim info on the proposal — insured name, property address, carrier, claim and policy numbers, date and type of loss. The wizard confirms name and address (ZIP required); check the rest in the claim info section, in chat or manual edit mode. A wrong header after publishing: fix it, save, republish — same format, no extra charge.

4. After publishing

  • Edits create a new draft; republishing in Xactimate is free and refreshes the link, PDFs, and .ESX.
  • Send the .ESX or Xactimate PDF to the carrier yourself, or click Submit to insurance and let XBuild’s supplementing team work the claim (insurance supplement flow).
  • Need Symbility instead? Ask in chat to switch. The scope is rebuilt in the Symbility catalog — re-expressed, not converted one-to-one — and publishing it is a first publish in that format (Publishing to Symbility).

5. Troubleshooting common issues

  • It’s been more than 10 minutes. Still working — documents arrive by email and in Documents whether or not the wizard is open. Nothing well past the window: contact XBuild Support.
  • I can’t find the .ESX file. Check the completion email and the project panel’s Documents section.
  • I published Xactimate again — was I charged again? No. Only the first Xactimate publish on a project carries the charge.
