Working with tokens
Tokens are XBuild’s usage meter: every plan includes an allowance, and AI work draws it down. Tokens are separate from member seats — running out never blocks a teammate from signing in, and adding a teammate costs no tokens. One balance is shared across your company; anyone can spend from it, only an XBuild Administrator can add to it.1. What consumes tokens
- AI chat is the main consumer — every AI turn in a project costs tokens. Cost scales with file processing (more or larger files), iteration (each round of revisions is another turn), and scope complexity (more packages and line items). One measurement file, one package, little back-and-forth is light; many photos, several package variants, and repeated revisions run significantly higher.
- Insurance publish surcharge — a discrete charge on top of chat usage, per output format, not per project:
- Retail publishes have no surcharge; iterating on a published retail proposal adds no publish tokens. See Publishing your proposal.
2. Where tokens come from
Your balance is made up of grants, each with a source and its own expiration:
XBuild spends the soonest-expiring grant first. Tokens that reach their expiration date are gone; expiry dates are visible on your balance.
3. Check your balance
Open Billing — from the main navigation, or under Settings. The plan card shows Tokens remaining, with a segmented bar underneath: each segment is one grant, color-coded by source. Point to a segment or legend entry to see that grant’s remaining tokens, issue date, and expiration date. Below the bar: when your plan tokens reset and your price per additional token. When there aren’t enough tokens for an action, the action pauses and XBuild shows an out-of-tokens prompt instead of running up a bill. Projects, proposals, and photos stay put. To get moving again:- Top up — an Administrator buys tokens from Top up tokens on the Billing tab. See Manual top-ups.
- Turn on auto-refill — XBuild buys tokens automatically when the balance runs low. See Auto-refill.
- Upgrade your plan — more monthly tokens at a lower price per token. See Pricing plans.
5. Troubleshooting common questions
- My balance dropped more than I expected. Check Transactions: a first insurance publish carries its format’s surcharge, and heavy chat sessions cost more than light ones. Also check for an expired grant — expired tokens leave the balance without a debit line.
- I published the same project twice but was charged once. By design — only the first publish per format on a project carries the surcharge.
- I have tokens but an action says I don’t have enough. The action’s full cost has to fit within your available balance. Top up or wait for your plan tokens to reset.
- I can’t find a Top up button. Buying tokens is admin-only; Members see the balance but not the purchase actions.
- Do unused plan tokens roll over? Monthly plan tokens last until renewal, when the new allowance replaces them. Top-up and auto-refill tokens keep their own 1-month expiry regardless of your billing cycle.
