Finding your invoices and receipts

Every XBuild charge — subscription renewals, token top-ups, auto-refill purchases, and per-project fees — lands in one billing history, and each charge links to its invoice. Viewing is open to your whole company; changing payment details is admin-only.

1. Browse your Transactions history

  1. Open Billing — from the main navigation, or under Settings.
  2. Switch to the Transactions tab.
Transactions is your company’s billing ledger, newest first: token purchases and auto-refills, plan token grants from each renewal, insurance publish charges, and invoiced project fees. Search it, or filter by date range (last day, last 7 days, last 30 days, all time). Click a row that carries an invoice and it opens in a new tab — a secure page hosted by Stripe, our payment processor, where you can view, download, and print the invoice or receipt. Rows tied to a project open that project instead. Day-to-day AI usage (chat turns and photo scans) is metered against your token balance rather than listed here — see How tokens work.

3. Choose who receives billing emails

By default, billing emails go to your company’s Administrators. To send them to a bookkeeper or office manager instead:
  1. Open Settings → Wallet.
  2. Under Billing email addresses, click Add email address and enter the address. Add as many as you need; remove one with the X next to it.
Once the list has at least one address, billing emails go to the list — account-critical notices, like a suspension warning, also go to your Administrators. Clear the list and everything falls back to your team admins. Only Administrators can edit the list; recipients don’t need an XBuild seat.

4. Update your payment methods

  1. Open Settings → Wallet.
  2. Under Payment methods, review the cards and bank accounts on file.
  3. Click Manage payment methods to add, remove, or change your default in the secure billing portal. XBuild never sees or stores your card number.
Your default payment method is charged for subscription renewals, top-ups, and auto-refill. ACH Direct Debit can’t be used for token purchases or auto-refill — those need a card.

5. Card expiry warnings

XBuild checks your default card weekly and emails you — subject “Your XBuild credit card is about to expire” — when it’s within a few months of expiring. Update the card in Settings → Wallet so renewals and auto-refills keep working.

6. Troubleshooting common issues

  • I need an invoice PDF for my accountant. Open Billing → Transactions, click the charge, and download the PDF from the hosted invoice page. For subscription payments you can also click Manage on the plan card to review your subscription in the billing portal.
  • A charge I expected isn’t in Transactions. Rows can take a moment to sync — refresh after a minute, widen the date filter to All time, and search for the amount or the project.
  • Billing emails are going to the wrong people. Set the recipients under Settings → Wallet → Billing email addresses. With no list configured, billing emails go to every team admin.
  • I can’t edit payment methods or billing emails. Wallet changes are admin-only. Ask an Administrator to make the change or promote you.
  • I don’t recognize a charge. Click the row — the invoice shows the type, date, and amount, and project-fee rows link to the job. If it still doesn’t add up, contact support with the invoice number.
