Working with Pricing & Profit

Pricing & Profit holds three settings for every retail estimate the AI builds: the margin baked into your prices, the deposit your customer pays on approval, and the financing figure shown next to each project option. It’s admin-only and per Location — configure each one you run. Item-level prices live in Your Catalog and Component packages.

1. Open Pricing & Profit

  1. Sign in to your XBuild account.
  2. Open Settings.
  3. In the Settings navigation on the left, click Pricing & Profit.
The page shows three cards — Margin, Deposit, and Financing — with Save Changes and Cancel at the bottom. Nothing applies until you save.

2. Set your default margin

The Margin card sets the default margin percentage applied to estimates. This is a gross profit margin, not a markup on cost: a 40% margin means your profit is 40% of the final price, a bigger number than adding 40% on top of cost. The helper text under the field restates this with your current value.
  1. Enter a value between 0 and 100 in the Margin field.
  2. Click Save Changes.
The AI applies this margin when it prices new retail estimates. It’s a default, not a lock — for a specific project, adjust the numbers in chat or in manual edit mode, and the change stays on that proposal only. See Editing estimates and proposals.

3. Require a deposit

The Deposit card controls whether customers pay something up front and how the amount is calculated. Turn on the Deposit toggle and pick a type: The deposit is charged when the customer approves the proposal — see Deposits and getting paid for the payment flow and What your customer sees for the customer’s view. Receiving payouts requires a linked bank account; while setup is incomplete, the Deposit card shows a callout walking you through it (from Add your bank to receive deposit payouts through Bank account pending verification), and it disappears once your account is active. 4. Show financing on proposals

The Financing card puts an estimated monthly payment on proposals — “$182 / mo” next to a project total. Turn on the Financing toggle and fill in: Every project option whose total meets your minimum shows a line under its Total Investment — “$182 / mo for 60 months” — with the note “Monthly rates pending approval.” The figure is informational: XBuild doesn’t run credit checks or process financing, so keep the term and APR aligned with what your financing partner offers.

5. Troubleshooting common issues

  • My prices look higher than cost plus my margin percentage. Margin is profit as a share of the final price, not a markup on cost. A 40% margin on a 600costpricestheworkat600 cost prices the work at 1,000, not $840. Lower the percentage if you were thinking in markup terms.
  • I get “Please select a deposit type” when saving. The Deposit toggle is on but no type is chosen. Pick Fixed Amount, Percentage, or Custom Formula — or turn the toggle off.
  • The monthly payment isn’t showing on a proposal. Confirm the Financing toggle is on and Term and APR are filled in (both are required to save). Then check your Minimum Amount — options priced below it show no financing line.
  • Financing shows on some project options but not others. The minimum is compared against each option’s own total, so a Good option can fall under the threshold while Better and Best qualify.
  • I changed my margin but an existing proposal didn’t update. Defaults apply when an estimate is generated. Existing proposals keep their numbers — edit them in chat or regenerate to pick up the new margin.
