Your first proposal

Create your account, put your company’s identity and pricing in place, bring in your team and tools, then run your first job through a project and publish it. Company admins do steps 1–4 once; after that, every job is steps 5 and 6.

1. Sign up

Sign up at my.x.build/signup or in the XBuild mobile app — it’s the same account, and the same login works on both. If your company already uses XBuild, ask an Administrator to invite you instead; accepting the invite creates your login and lands you in the right Location.

2. Set up your business profile

Your Business Profile — company name, phone number, address, logo, and brand colors — appears on every proposal, so set it before your first job. Two more Settings areas pay off immediately:
  • Pricing & Profit — labor rates, default margins, taxes, and deposit rules. The AI prices every estimate from these.
  • Component packages — the reusable material-and-labor assemblies the AI builds retail estimates from. XBuild ships starter templates you can copy and customize.
If your company runs more than one physical branch, set up each Location — each carries its own team, packages, and settings.

3. Invite your team

Open the Members tab and invite your estimators, sales reps, and office staff (you must be an XBuild Administrator to invite or remove members). Each active or pending member occupies one member seat, and their role decides what they can change: Administrators manage Settings and billing, Members run jobs.

4. Connect your tools

Under Settings → Connectors, an Administrator links your CRM, photo documentation, supplier pricing, measurements, and accounting once for the whole account. Most connectors require an XBuild Pro plan or higher (each connector’s page notes its requirement); see the connectors overview.

5. Create your first estimate

Every job is a project, and the AI estimator is a tab on the project page. From Home:
  1. Click Create an estimate or proposal. (Pick Start a new project to set the job up first and open its Estimator tab later.)
  2. Choose New estimate, then fill in the project name — typing searches your contacts — the address (pick from the suggestions), and a description of the job. Attach photos if you have them.
  3. Click Start estimating. The project opens on its Estimator tab with the AI ready to chat.
Describe the job in plain language — the trade, the property, what happened, what you want to sell — and give the AI whatever you have:
  • Photos — uploaded or captured in the mobile app; the AI scans them for scope, titles, and descriptions. Anything already on the project is used automatically.
  • Documents — measurement reports and carrier estimates are read automatically, and their numbers flow into the scope.
  • Answers — the AI asks clarifying questions rather than guessing.
The AI assembles a scope from your packages and pricing settings and renders a proposal you can preview and edit; every save is a new version. If your team runs inspections, attach a checklist from the project’s Overview tab — its photos land in the same album.

6. Publish and send

Click Publish to generate the shareable link and PDF, then view, download, print, or email the proposal from the post-publish panel.
