Where permissions live

Settings → Connections shows each connection’s status and the Rex permissions for it. People whose role administers the company or the Location control which tools and data Rex can use there. Labels in your account may vary slightly; the concepts below apply.

Permission levels

These settings work with each person’s mode. In Ask mode, Rex waits for confirmation before any change. In Apply mode, Rex can make internal changes these settings allow. External actions, such as sending email, always need the current user’s confirmation. See Act with Rex.

What permissions don’t do

  • They don’t give anyone an Admin role. Rex works within the current user’s access; see Members and roles.
  • They don’t unlock plan features. Changes to XBuild records still respect what your plan includes; see Plan comparison.
  • They don’t override a read-only conversation or company policy.

Who can use Rex

Rex needs all of the following:
  • Rex enabled for the selected Location
  • the feature included in your plan
  • an Admin or Standard role; Limited members don’t get Rex

Choosing settings

  • Start with reading allowed and changes set to Ask for tools your team is still learning.
  • Use Off for tools Rex shouldn’t touch.
  • Revisit settings when you add a connector; see the connectors overview. Google Drive is a personal connection each person sets up for themselves.

Troubleshooting

  • Rex says it can’t reach a tool. Check the connection status and the read permission in Settings → Connections.
  • Rex keeps asking before changes. The change permission may be Ask, the user may be in Ask mode, or company policy may require you to confirm that action yourself.
  • A teammate can’t see Rex. Check their selected Location and role.
  • Rex isn’t available for anyone. Contact XBuild Support to confirm your account’s Rex setup.
